How the tools work

Three answers from you. Fifteen back.

The fastest way to explain this is to let you do it. Give it your guest count, your date, and your bar hours. Everything below becomes yours, and you will watch the same few details turn up again in the next tool, and the one after that.

Everything here is a demonstration. What you see below is just a piece of what the real tools give back. They run in your browser, save to your device, and are yours the moment you buy them.

Tab 02 · Planner's Math

You gave it a number. Here is your whole bar.

Not a rule of thumb. Your guest count and your hours, worked the same way The Bar Math Calculator works them: a drink and a half in the first hour, one an hour after that, split forty / forty-five / fifteen across beer, wine and cocktails.

0Drinks, all night First hour heavier, then it settles
0Bottles of wine Five glasses to a bottle
0Cases of beer Or 0 kegs, if the venue taps
0Bottles of spirits Sixteen pours to a bottle
Planned by The Bar Math Calculator · $34, or free inside the binder
Four numbers is not a shopping list We know. In the tool you say how much red and how much white, then name the wines and beers you are actually pouring and type your own cocktails in by the recipe. What comes back is the shopping list itself: exactly how much of exactly what, spirits totalled by the bottle, mixers by the liter, and a keg option once the beer count justifies one.
The part everyone forgets

And the two lines that ruin a good bar.

Ice and glassware are ordered last, guessed at, and under-bought at almost every wedding we have worked. Both are driven by your guest count and nothing else.

0Pounds of ice A pound and a half a guest. More if you are outdoors
0Glasses Three a guest. Abandoned drinks are real
0Bottles for a toast Six flutes to a bottle, if you are pouring one
0People to feed Which is where the next tool picks it up
Planned by The Bar Math Calculator
Still only the top of it It plans the garnish, the sodas and juices, and a water station that is not sad, then prints the lot as a shopping list you can check off in the aisle.
The Thread

One saved file. Zero retyping.

Every tool has the same two buttons. Save My Progress downloads a small backup file, and the next tool imports it. That file is the Thread. Your budget, your booked vendors, your counted guest list: each one rides it forward, so nothing gets typed twice. Watch your own numbers make the trip.

Tab 04 · Create the List

The same number, and now it is a room.

That hand-off you just watched is the Thread doing its work. The count lands, the seating tool draws a first pass at the room, and you take it from there: swap a round for a banquet, set its real size in feet, drag it anywhere you want it. Then seat more people at a table than it holds and the table turns red and tells you by how many, and name two guests who should not sit together and it watches that too.

0 tables · 60″ round, seats 8 2.5 ft buffer for chairs and walking room Sweetheart, seats 2 8 ft bar, off the sightline 16 ft dance floor · grid squares are 5 ft 0 meals · 0 on the escort list
Planned by The Seating Planner and The Complete Layout
The drawing is the easy part In the real tool you set the dimensions of your space and build what is actually in it: the bar, the DJ, the cake table, the entrance, the awkward corner you cannot use. Then seat every guest by name, print the plan and the roster, and keep as many versions as you need ready for your venue and your vendors.
Tab 01 · Plan the Day

You gave it a date. Here is every deadline.

All of it works back from the date you gave it. The one to watch is the final count: the day your venue and caterer need a real number, and the day after which an empty chair is still on your invoice.

Five dates of about twenty The full timeline starts eight months out and runs to the morning of, adjusts for a destination wedding and for digital versus printed invitations, and hands you the words for the chase. Alongside it every deposit and balance is watched to its due date.
What just happened

You typed three things. You got back fifteen answers.

That was three inputs, and staying that easy is the point. If you changed the guest count and watched the numbers move, you have already seen the useful part: nothing here is fixed. In the real tools that keeps going. Shorten the bar, swap the room, move the date, and everything downstream moves with it.

Most of planning is deciding, and deciding is easier when you can see both versions. Some of what the full tools add:

The Bar Math Calculator
Also gives you
  • Your red and white split, then bottles of each wine you are pouring, from eight on the list or your own
  • Beer by style, and a keg option once the count justifies one
  • Your signature cocktails costed from their recipes, spirits totalled by the bottle and mixers by the liter
  • A checkable shopping list you can take to the store
The Guest List & RSVP Tracker
Also gives you
  • Mailing addresses, kept with the names
  • Meal choice per guest, not per table
  • Dietary notes that travel to the caterer
  • Seats per party, and the table each one lands at
The Complete Layout
Also gives you
  • The room drawn to your real dimensions, not a template
  • Buffers that leave walking space between every table and whatever is next to it: the walls, the dance floor, the photo booth
  • A printed plan and a printed roster
  • Ballroom and garden saved as separate versions, printed side by side
